DESCRIPTION

Provides administrative and clerical support for the Director. Coordinates messages, appointments, and information to callers, file maintenance, office supplies and mail. Researches, compiles, and proofs data for special projects. Acts as an information source on and assists in establishing organization policies and procedures.

Required Skill Set:

Excellent interpersonal skills
Effective written communications skills
Effective organizational skills
Computer skills include the ability to operate Word/Excel/PowerPoint/Visio.
Attention to detail and high level of accuracy
Ability to speak the local language

Key areas of responsibility:

Schedule and organizes meetings, travel, conferences and department activities for the Director.
Creates and develops visual presentations for the Director.
Establishes, develops, maintains and updates filing system for the Director.
Retrieves information from files when needed.
Establishes, develops, maintains and updates from other department/LOB for the Director.
Organizes and prioritizes large volumes of information and calls.
Sorts and distributes mail for the Director.
Drafts written responses or replies by phone or e-mail when necessary.
Responds to regularly occurring requests for information
Answers phones for Director.
Takes messages or fields/answers all routine and non-routine questions.
Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs.
Handles confidential and non-routine information and explains policies when necessary.
Works independently on special nonrecurring and ongoing projects.
Planning and coordinating multiple presentations, distributing information, coordinating direct mailings.
Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc.
Proofreads copy for spelling, grammar and layout, making appropriate changes.
